Enabling Serial Number Functionality and Adding Serial Numbers to Items

Our serial number functionality allows you to assign serial numbers to your items. It's great for combating fraudulent return orders.

This article will show you how to enable the serial number functionality and add serial numbers to your items.

Serial Number Options

All three of these options can be enabled through the user interface or a spreadsheet.

N/A or None

This option indicates that serial number functionality is not enabled. It is the default option when you add new products to Solid Commerce.

You can still add serial numbers to items even if they have a Serial Number Type of N/A or None. However, during shipping you won't be able to assign serial numbers to items unless you enable either the Predefined or During Fulfillment options.

During Fulfillment

With this option, you enter serial numbers into SolidShip as you ship orders. You don't need to save them in Solid Commerce before shipping.

During shipping, if you enter a serial number that has already been shipped into SolidShip, SolidShip will not allow you to ship the order. If you enter a serial number that has not been saved in Solid Commerce, we will add it to Solid Commerce and assign it to the shipment.

Predefined

With this option, you need to add your serial numbers to Solid Commerce before you ship.

When processing your orders in SolidShip, SolidShip will not allow you to ship your order if you enter a serial number that has not been saved in Solid Commerce.

 

Enabling Serial Numbers Through the User Interface

The only place inside your Solid Commerce account where you can enable the serial number functionality is in a Warehouse or Vendor Inventory List. To enable:

1) Find a product in its Warehouse.

2) In the Serial Number Tracking column, click on the serial number option (it's set to N/A by default).

3) Select During Fulfillment or Predefined in the Change Tracking Type pop-up to enable serial numbers. Select None to disable serial numbers.

4) Click OK in the Info pop-up. The search results page will automatically refresh and display your change.

NOTE: If you don't see the Serial Number Tracking column, click on the Columns Setup button on the left, above the grid of products. Check the Serial Number Tracking box in the pop-up. Click the Apply and Close button.

Adding Serial Numbers Through the User Interface

1) Hover over the rectangular Serial Numbers icon on the right-hand side of the Serial Number Tracking cell.

2) Click on the manage serial numbers button in the pop-up. Once you add serial numbers, they will also display in this pop-up.

3) Use a barcode scanner to scan your serial number into the empty field at the top of the Manage Serial Numbers pop-up, or enter the serial manually.

4) Click the Add button.

Enabling Serial Numbers Through a Spreadsheet

Serial numbers are Inventory Level information. To enable them in bulk, you will do an Inventory update.

1) You can download the attached example file and use the Enable Serial Numbers tab as a template.

  • If you don't use our template, the minimum columns you need are: results, product custom sku, warehouse id, warehouse name, and serial number tracking type.

2) To enable serial numbers, enter either 1 (for During Fulfillment) or 2 (for Predefined) in the serial number tracking type column. Enter 0 (for None) to disable serial numbers.

  • If you'd prefer to use names instead of numbers, enter: During Fulfillment, Predefined, or None.

3) Upload your file with an Inventory update.

Adding Serial Numbers Through Excel

We have a button in our Solid Commerce Excel Tool menu specifically for adding serial numbers in bulk.

1) You can download the attached example file and use the Add Serial Numbers tab as a template.

  • If you don't use our template, the minimum columns you need are: results, warehouse id, warehouse name, and serial number.

2) Use a barcode scanner to scan your serial number into the serial number column, or enter it manually.

  • If you have one product with multiple serial numbers, enter each serial number on its own row. Use the same Warehouse ID on each row.

3) Upload your file by clicking the Upload Serial Number button in the Solid Commerce menu of Excel. Enter your Solid Commerce credentials. Click the Submit button.

Searching for and Viewing Serial Numbers

Warehouses or Vendor Inventory Lists:

  • To search for a particular serial number, select Serial Number from the Search drop-down.

  • To view serial numbers, hover over the rectangular Serial Numbers icon on the right-hand side of the Serial Number Tracking cell.

Manage Orders Page:

  • You can also search the Manage Orders page by Serial Number.
  • To view serial number information, first switch to the items view by clicking on the Switch to Items button. Then hover over the Serial Number Tracking Type.
